Full Service Package  

  • Initial complimentary consultation
  • First organizational meeting to discuss ceremony and reception options, design and/or theme, and budget specifications
  • Determine level of formality (Formal, Informal, Casual) and assist in selection, purchase, and wording of invitations and all applicable enclosures
  • Additional meetings throughout the planning process to discuss and confirm event details (to be conducted in Events by Design offices or via telephone)
  • Interview, negotiate with, and reserve vendors as selected by client(s)
  • Design event decor/layout/logistics/timing
  • Establish budget and vendor payment plan
  • Advice and assistance throughout entire wedding planning process
  • Review all contracts to confirm services, fees, and cancellation clauses
  • Final confirmation meeting with clients one week prior to wedding to finalize details
  • Final confirmation with all vendors one week prior to event
  • Recommendations/book Bridal Luncheon, rehearsal dinner or other pre ceremony event
  • Create and distribute detailed schedules for wedding day
  • Oversee ceremony décor set-up
  • Manage (or assist) in timing of ceremony (if service not provided by facility)
  • Coordinate rehearsal, ceremony, and reception, as needed
  • Minimum two-person event coordination
  • One coordinator to ensure correct set-up of ceremony site; distribution of flowers to wedding party and appropriate family members
  • One coordinator to offer personal assistance to Bride and Groom
  • Emergency Bridal Kit present at all times
  • Oversee cocktail reception and dining room area décor set-up
  • Assist guests in finding seating arrangements
  • Manage timing of all necessary and traditional events, as requested
  • Work with photographers and entertainers to insure all reception events occur on a timely basis and all required photos or videos are taken without interfering with services provided by photographers and entertainers
  • Confirm all wedding items such as cake knife and server, toasting glasses, gifts, etc. are provided to responsible individuals as designated for return to the bride and groom
  • Confirm all vendors are paid in full or as specified by contracts prior to conclusion of event

1-4 Weeks Prior to Wedding Day

  • · Final confirmation meeting four weeks prior to wedding to finalize details
  • · Coordinate arrival and set up time for all vendors
  • · Distribute timeline to vendors, bridal party and appropriate family
  • · Final confirmation with all vendors one week prior to event

Rehearsal Day

  • Coordinate and direct rehearsal (with officiant)
  • Answer any questions
  • Give final reminders/direction

Wedding Day

Ceremony

  • Ensure correct set-up of ceremony site; distribution of flowers to wedding party and appropriate family members
  • Ensure arrival and set up of all vendors
  • Ensure set up of sign in book, cake knife, toasting glasses, favors, place cards, table cards, photographs and any other designated décor items
  • Manage timing of ceremony and direct wedding party appropriately
  • Personal assistance to Bride and Groom
  • Emergency Bridal Kit present at all times
  • Direct bride and groom’s personal items and/or gifts from ceremony to reception site

Cocktail

  • Direct guests to cocktail area
  • Oversee cocktail reception and dining room site décor’ set up by site staff

Reception

  • Oversee reception set up and décor
  • Set items such as place cards, table cards, favors, cake knife, toasting glasses, etc.
  • Review schedule with Banquet Captain and MC
  • Ensure transfer of ceremony flowers to reception
  • Greeting and directing guests to their seats
  • Direct the Grand entrance of the bridal party
  • Manage timing of all necessary and traditional events (toasts, first dance, father/daughter, cake cutting)
  • Work with photographers and entertainers to insure all reception events occur on a timely basis and all required photos or videos are taken
  • Confirm all wedding items such as cake knife and server, toasting glasses, gifts, etc. are provided to responsible individuals as designated for return to the bride and groom
  • Assist in distribution of floral centerpieces to appropriate guests, if so designated, as gifts from the bride and groom
  • Assist family, friends and guests with questions, directions, etc.
  • Confirm all vendors are paid in full or as specified by contracts prior to conclusion of event and appropriate gratuities are distributed
